IRB Meeting Schedule, Composition, and Roster
IRB Meetings and Deadlines
The Chaminade IRB holds Full Board (Convened) Review meetings twice a month on Mondays from 12:30–1:30 PM HST via Zoom or Google Meets. If quorum is met, voting may occur during the meeting via a secure Google Form. To be reviewed at the next meeting, protocols requiring Full Board review must be submitted before 12:00 PM HST on the posted deadline. Applications received after the deadline will be reviewed at a future meeting. Meeting agendas and links are shared with IRB members one week in advance. Exempt and Expedited protocols are reviewed year-round on a rolling basis. These submissions are not bound by deadlines and may be submitted at any time.
The following deadlines are only applicable to protocol submissions that require Full (Convened) Board Review.
NOTE: If the IRB committee has received more Full Board protocols than could be responsibly reviewed within the allotted time of a convened meeting, the remaining items are moved to the next meeting’s agenda. In general, please expect their protocols to be reviewed within the next two meetings following submission, depending on review volume. The IRB recommends that faculty, staff, and students submit complete, thorough protocols with sufficient time allotted for review.

Role and Function

IRB Composition
Conflict of Interest (COI) Policy for IRB Members
IRB members must avoid actual or perceived conflicts of interest in any protocol review. A conflict of interest exists if an IRB member (or their spouse/dependent child):
- Is listed as a PI or co-investigator on the protocol
- Has a significant financial interest in the sponsor or entity involved
- Serves as an officer or director of the sponsoring organization
- Self-identifies for any reason as having a conflicting interest
Member Responsibilities:
- Immediately disclose any potential conflict to the IRB Chair
- Recuse themselves from discussions and voting on protocols where a conflict exists
- Promptly review assigned protocols to determine whether a conflict exists, and request reassignment if necessary
Maintaining transparency and impartiality is essential to the ethical integrity of the IRB review process.
