Project Request

University Communications and Marketing provides various services—including strategic/marketing consultation, public relations, advertising, writing, design (digital and print), printing, photography, videography, and web content—to help advance Chaminade’s brand, awareness, and initiatives.

The project request form helps us gather important information and details to assess how to best support your needs and deliver quality service. We review each request and consider the project within the broader context of the University’s priorities, timing and team capacity.

Project Timelines Project Request Form

Once the form is submitted, we will follow up within 1–2 business days and work with you to determine a timeline and what is needed to make your project successful. Depending on the scale of the project, we may schedule a kick-off meeting or require a Project Brief for work to begin.

We strive to be responsive, but please note that there is a queue of work in-progress and projects. So please submit your project request as early as possible before your desired completion date to ensure we have enough time to support your initiatives—you may reference the timelines below.

Timelines

Timelines may vary based on the scope of the project, but please see below for sample timelines. The production schedule does not begin until all content is received (this may include a kick-off meeting or a required Project Brief). Please note that the timeline is based on business days.

Production timeline does not begin until we receive all the essential information and details for the project—this may include kick-off meetings and a required Project Brief. The timelines listed below include the time needed for concepting, copywriting, layout/design, review/approval process, programming, printing, and delivery/mailing.

  • Campaign or Strategic Consultation: 16–18 weeks before launch
  • Digital Ads: 8 weeks before digital ad submission to platform
  • Direct Mailers/Postcards: 12–14 weeks before mail drop date (Note: we mail using nonprofit postage, so please also take into account mailing time. Hawaii mails within 7–10 days. Out-of-state may take up to 4 weeks to reach homes.)
  • Collateral (flyers/handouts/brochures/programs): 10 weeks before delivery date
  • Emails: 6–8 weeks before blast date
  • Media Release or Advisory for event coverage or Campus News Story: 8–10 weeks prior to event
  • Print Ads: 8 weeks before print ad(s) submission to publication date
  • Printed Signage: 8 weeks before installation date
  • Website Buildout: 8–10 weeks
  • Website Updates/Revisions: 5-7 days before update needs to go live

Event Coverage
  • Photography/Videography: 4–6 weeks prior to event
  • Event Recap Video: 7–10 days after event
  • Shared Event Photos: 7–10 days after event
Video Production

Video production requires a kick-off meeting. Please allow for at least four months lead time. The timeline will be based on the scope and requested deliverables for the project. It also includes pre-production, interviewee selection, shoot scheduling, editing, review process, etc.

Timeline does not begin until we receive all the essential information and details for the project. If you are requesting a digital billboard for an event, please make sure you add your event to our Event Calendar.

  • Event Signage: 4–6 weeks before event
  • Welcome Guest Signage: 2 weeks prior to guest arrival date

We want to tell the compelling stories of Chaminade University—our students, alumni, faculty, events, programs, awards, honors and achievements—and share them with readers in the Chaminade community and beyond. Our stories can be shared through our many communication channels: press releases, publications, campus news posts, newsletters and social media.
